Routine Operations in the Transportation Module

Getting Started

To start, click on the Transportation button in the main Module of the system. Example of the Module screen is shown on Figure 1.

The PTD Supervisor screen contain information about all flights included in the Daily Flight Plan for a particular date. The date selection is described in the General Provisions.

Each row in the flight table corresponds to a certain flight and contains the following information:

  • Al – indicator of alarms in case of irregularities on the flight
  • Flight – flight number
  • A/P – sending airport
  • Type – aircraft type
  • Board – aircraft board number
  • Park – departing aircraft parking place number
  • TP – indication of availability of transfer passengers arriving by this flight
  • Arrive – scheduled time of arrival in the base airport
  • Status – flight status
  • ?Seats – number of sold seats (reservation data)
  • Cl – service classes (if empty, only Economy class)
  • Steps – time of steps removal
  • Desks – check-in desks assigned for the flight
  • Gates – gates assigned for the flight
  • =Seats – total number of occupied (checked) seats (subject to change during check-in process). Also the indication of re-boarding passengers and combining the passenger lists:
  • "+" – passengers were added to the flight
  • "-" – passengers were sent to another flight
  • TP – indication of availability of transfer passengers departing by this flight
  • Departure – time of departure
  • Route – for departing flights, the flight route after the base airport; for arriving flights, the last departure station.

Also, the background color is of importance.

Meaning of colors:

  • Gray – inactive (nothing is going on with respect to this object)
  • Green – active (some action is being performed, e.g., check-in, boarding, etc.)
  • Blue – inactive (the action is completed)
  • Yellow – flight delayed
  • Red – flight canceled.

Gray, green and blue colors sequentially replace each other.

The screen buttons functions:

  • Date/F2 – select the date to view a Daily Flight Plan (more detailed description of the date selection is given in the General Provisions)
  • Yesterday/PgUp – move to previous date
  • Tomorrow/PgDn – move to next date
  • Archive/F10 – view archived flights
  • Refresh/F3 – refresh the screen data
  • Undo /Shift+Esc - undo the last operation
  • Exit / Alt+X – exit from the screen
  • New/Ctrl+F5 – enter a new flight
  • Route /F5open the screen with detailed info about the flight destinations
  • Lists/Ctrl+F4 – open Passenger List for this flight (described in the General Provisions)
  • Cancel departure/F4 – cancel flight departure (active only in case the flight departed)
  • Details /F6open screen with info about stages and parameters of check-in
  • Check-out all/F8 – cancel check-in for the flight
  • Transfer /F11 – open the screen with info about transfer passengers of the flight
  • Operations /F7 – open the Activity log for the flight (the Activity log is described in the General Provisions)
  • Save /F9 – save entered data
  • WL/Ctrl+F7 – view the waiting list.

Assignment of Check-in Desks for the Flight

The desks can be assigned from the PTD Supervisor screen (Figure 1).

It is possible to assign several check-in desks entering them one after another. Depending on system settings, the main check-in desk may be assigned.

The procedure of check-in desks assignment:

  • 1st method: Keyboard input
    • Place the cursor in the Desks area of the selected flight.
    • Press Spacebar to start editing.
    • Type the desk name (if several desks, type their names separated by space).
    • Press F9 to save changes.
  • 2nd method: Selection from the list of desks
    • Place the cursor in the Desks area of the selected flight.
    • Press F1: The list of desks will open (in more depth described in the System Administrator Instruction).
    • Place the cursor on the row with the desk you need.
    • Press Enter, the list will close, and the selected desk will appear in the Desks area.
    • If necessary to enter the names of other desks, repeat the above mentioned actions.
    • Press F9 to save changes.

To view the list of entered desks (if there are several), place the cursor in the relevant box of the desks list, and you will see the tool-tip containing all desks listed in this box.

Assignment of Gates

The desks can be assigned from the PTD Supervisor screen (Figure 1).

The procedure of gates assignment:

  • 1st method: Keyboard input
    • Place the cursor in the Gates area of the selected flight
    • Press the Spacebar to start editing
    • Type the gate name (if several gates, type their names separated by space)
    • Press F9 to save changes.
  • 2nd method: Selection from the list of gates
    • Place the cursor in the Gates area of the selected flight
    • Press F1: The list of gates will open (in more detail described in the System Administrator Instruction)
    • Place the cursor on the row with the gate you need
    • Press Enter, the list will close, and the selected gate will appear in the Gates box
    • If necessary to enter the names of other gates, repeat the above mentioned actions
    • Press F9 to save changes.

To view the list of entered gates (if there are several), place the cursor in the relevant box of the gates list, and you will see the tool-tip containing all gates listed in this box.

View the Transfer Information

It is possible to view information about transfer passengers and baggage from the PTD Supervisor screen. If there are transfer passengers departing/arriving by this flight, it will be indicated (by means of ->) in TD (Transfer for departure) or TA (Transfer for arrival) areas.

To do this, click on Transfer /F11. In case the flight will arrive and depart, the system will propose to select the departing or arriving transfer passengers. The Transfer window will open.

Transfer Passengers

The Transfer window description:

  • Flight/Date – number and date of the flight, from/to which the passengers will be reboarded
  • Dest – destination point code
  • Cl. – class
  • Seats – number of seats the passenger occupies
  • Baggage – number of baggage pieces
  • Name – passenger surname and given name(s)
  • Exit – return to the PTD Supervisor window
  • Refresh/F2 – refresh the list of transfer passengers (if the window was open long enough)
  • Baggage/F4 – go to the information about the transfer baggage.

Transfer Baggage

The Transfer window description:

  • Flight/Date – number and date of the flight, from/to which the baggage will be reboarded
  • Dest – destination point code
  • Cl. – class
  • Ck. Bagg./ – Number of pieces and weight of checked baggage
  • Carry-on WT. – weight of unchecked baggage (carry-on baggage)
  • Bagtag Nos. – numbers of baggage tags
  • Name – passenger surname and given name(s)
  • Exit – return to the PTD Supervisor window
  • Refresh/F2 – refresh the list of transfer baggage (if the window was open long enough)
  • Passengers/F3 – go to the information about the transfer passengers.

Transfer Baggage Association

Information on in-bound transfer baggage: amount of baggage pieces and baggage tags numbers is displayed in tab “Baggage”. This information is based on data received in BTM.

Baggage tags numbers are red colored if not associated to passengers. This means check-in of these baggage tags has not been performed yet, or the check-in is closed and these baggage tags remained not associated to any passenger.

Unaccompanied transfer baggage is displayed in window “Baggage” as well.

View of Information About Passengers on the Waiting List

It is possible to view of information about passengers on the waiting list from the PTD Supervisor screen. In case there are such passengers on the flight, the WL/Ctrl+F7 button will be active and the flight will be automatically marked with an exclamation mark.

Check-out of Passengers

The operation to be performed from the main PTD Supervisor screen (Figure 1) and allows to check-out all passengers checked for the flight; the reason Agent's mistake will be specified.

To check the passengers out:

  1. Place the cursor on the flight.
  2. Click on Check-out all/F8 button, the check-in of all passengers will be canceled after conformation, Agent's mistake will be specified as a reason.

When this operation is complete, the list of checked passengers will be fully deleted.

Amendment of Flight Status

It is possible to change the flight status from the PTD Supervisor screen (Figure 1) or from the Passengers screen in the process of working with the technological. Changes in these screens appear simultaneously.

To change the status of the flight from the PTD Supervisor screen:

1. Place the cursor in the Status box of the selected flight.
2. Press F1, the list of statuses will open (Figure 7), set of statuses can vary depending on the current flight status.

3. Select the row in the list by arrow keys.
4. Press Enter to select the desired status;
5. Click on Save/F9 to save changes.

Meaning of statuses are described in the General Provisions.

Cancellation of Flight Departure

If the Supervisor has the respective rights, he or she can return the flight from Flown state to Before Departure state. To do this:

  1. Place the cursor on the row with the information about the relevant flight.
  2. Click on Cancel departure/F4.
  3. After confirmation the system will return the selected flight in Before Departure state.

Entering a New Flight

If the Supervisor has the respective rights, he or she can input a flight for a particular date in the Transportation Module; with no need to input this flight in the Seasonal Schedule Module. To enter a new flight:

  1. Open DFP for the required date in the Transportation Module.
  2. Click on New/Ctrl+F5.
  3. Edit the empty Flight Details window () in accordance with the flight route editing principles.
  4. Save changes by clicking on Save /F9.

Flight Deleting

To delete a flight out from the active Daily Flight Plan is possible only in case a flight status is “Inactive”. Should the flight bear another status, button “Delete” is not available.

Control at flight deleting:

  1. If there are checked passengers for a flight then flight can not be deleted. (The systems displays warning).
  2. If a flight is transit one, then control covers all flight segments it means all segments are to be “Inactive”.

In case a flight has been deleted by error, please generate again the Daily Flight Plan and the deleted flight will be restored.

“Flight deleting” function is bound with operation “Flight handling: to delete a flight” Flight deleting operation is recorder in the flight activity log.
