Module “Check-in”: operations with EMDA
If passenger holds issued EMDA then in window “Passenger remarks/F10” (Module “Check-in”) information of the services at a cost or prepaid baggage is highlighted by color.
EMDA baggage association
If passenger has prepaid baggage, then check-in Agent should input passenger baggage in DCS Amber and associate EMDA receipt number with passenger baggage.
Table «EMD association» is used to associate EMDA receipt number to baggage:
Table description:
- Baggage type – is indicated type of paid baggage
- Number and amount — total amount of baggage type
- Allowance — baggage allowance
- To be paid — weight to be paid
- EMD number/F6 — in this field should be entered associated EMDA number.
- By pressing “F6” one can select necessary receipt number or input the number manually.
Paid weight (in kg) – enter paid amount of kgs according to EMDA receipt
This form is automatically opened: if passenger holds paid baggage, when saving data by “Continue/F9”, in case any changes to baggage occurred.
EMDA association to checked–in passenger.
If passenger holds paid baggage and EMDA issuance at cashier desk at airport, then check-in Agent should associate EMDA with the passenger’s paid baggage.
Press button “EMD association/Shift+F5” to open table “EMD association” pic. No.1
In case the system did not receive EMDA data then the check-in agent is allowed to input manually EMDA number into the system on the basis of the printed out receipt. EMDA association and manual input should be monitored in the flight “Operations”, this function is linked with a separate right (access) “Manual input of EMDA”.
A few EMDA association to one baggage type
When a few EMDA are associating to one baggage type, receipt number is added by pressing button “Add EMD/F7”.
Amount of payable kgs in column “Weight to be paid” and amount of paid kgs by EMDA in column “EMD” is displayed on the main “Check-in” screen at the bottom.
Unused EMDA alert
A passenger holds issued EMDA and at check-in the receipt is not associated to any baggage type:
Prior the boarding pass printing by “Boarding pass/F12” there will be displayed warning about pre-paid service existence. This alert is informative both to the agent and the passenger, after pressing “OK” printing out continues.
Check-in closing and unused EMDA accounting
At check-in closing in “Pas. traffic serv.” module there is displayed list of unused baggage EMDA in the “Passengers” window.
!EMDA alert is on
!EMDA alert means there exist not associated pre-paid services on the flight.
Alert is set on while the stage “Check-in closing” is performed.
EMDA issue and operation rules
If passenger prepaid amount of kilos less than actually checked, then old EMDA is deleted and a new EMDA on actual amount of kilos is issued (issue is performed in Amber reservation system).
Number of EMDA held by one passenger is not limited but every EMDA can be associated to one electronic ticket!
Baggage EMDA association and disassociation
Baggage EMDA association — is the mechanism of EMDA association to electronic ticket as the result of EMDA status changes simultaneously with electronic ticket.
The mechanism of EMDA association is run automatically at check-in of passenger with electronic ticket.
Baggage EMDA dissociation – is the mechanism of baggage EMDA disassociation with electronic ticket (not uses EMDA receipts).
The mechanism of disassociation is run when departure time of aircraft is entered into the system (+-1 minute). All information regarding the not used EMDA is displayed in the Flight activity log.
There is possibility to configure “EDS interaction forbidden” function, this function is set for a flight if there is no interactive interchange between DCS Amber and electronic document server of an airline.
If the above function is set then no association or dissociation procedures will work.
This feature is of immediate action and starts to function at the moment of configuration. EMD status is not changing.
EMD status change
EMD status is synchronized with electronic ticket status after EMD is associated to payable baggage.
When check-in for a passenger is cancelled there is no EMDA status change in Activity log, because the status is synchronized with electronic ticket and changes to “O” status by default. It happens when EMDA status is closed for use.
If EMD status is opened for use, the informative window will be displayed in DCS Amber:
To continue activity EMD number of “corrupted” EMD should be deleted from the table “EMD association”.
